Privacy Policy

The website Inclusivemobility.eu was created during the European funded Erasmus+ project ‘Enhancing a thought-out Policy and Framework on Inclusive Mobility across Europe (EPFIME) in which an international consortium was involved. The self-assessment tool, the framework and toolbox are created and funded by the Support Centre Inclusive Higher Education. 

Erasmus Student Network AISBL (known as ESN International and hereinafter referred to as ESN) and the Support Centre Inclusive Higher Education (known as SIHO, and hereinafter referred to as SIHO) maintain this platform to promote the outcomes to the public.

We are committed to the protection of your privacy and respect the relevant privacy legislation General Data Protection Regulation (GDPR). The way in which we process your personal data is explained in this privacy notice. 

Who collects data? 

  • Data that we collect via the website are solely intended to be used by a limited number of persons employed at the ESN secretariat and the Support Centre Inclusive Higher who need the information for the performance of their duties. 
  • Data regarding institutional and country pages and accounts are collected and processed by ESN and SIHO. Data regarding the self-assessment tool, framework and toolbox are collected and processed by SIHO

Which personal data do we process?

  • We only collect personal data that is necessary to perform the service that you requested.
  • For publishing institutional information as a higher education, ministry of national agency representative, the following personal data is processed when creating an account:
    • Higher education institution: name / first name / email address / country / name institution / function
    • Ministry of Education: name / first name / email address / country / name institution / function
    • National agency: name / first name / email address / country / name institution / function
  • For the self-assessment tool, the following personal data is processed: country, role, function and email address to email you a link to your results
  • For the toolbox, the following personal data is processed: email address to notify you regarding your submission. Regarding your submission you have to provide information on the type of resource, the targeted topic and audience, language and country and to upload the resource.
  • For the student testimonies, the following personal data is processed: name / first name / email address / country / name institution / informed consent
  • For the follow up a request for advice by email, the following personal data is processed: email address.

How do we treat personal data?

  • The personal data requested and provided via the website are used to make contact in order to comply with the submitted request. 
  • The information is used for internal purposes only and is not passed on to third parties. Use for internal purposes means that we will use your data collected by us to permanently optimise our website for users, as well as to provide you with the requested information.
  • The information is stored in our respective contact management systems, but will never be used for further unsolicited contact. We will never provide your contact details for commercial purposes.
  • It is possible that certain data collected by third parties (Google, social media, etc.) is stored on servers outside the European Union. More information about the nature of this data can be found in the cookie policy.
  • Aggregated statistics will be collected regularly, including, but not limited to, the number of users during a specific period, web pages consulted by users, and account usage. The data for statistical or scientific purposes is always processed anonymously. Individual identification of persons is therefore not an issue.

How long do we save personal data?

  • We will never store your personal data longer than necessary for the services for which the data was originally collected.
  • Data related to the user accounts are kept for three years after the user’s last login. After three years from the last login, the user profile will automatically be set to inactive. A notification will be sent to the user to inform the user that the profile has been set to inactive and that he/she can re-activate the account by logging in again within two weeks. If the user does not login within two weeks, the profile will be deactivated permanently.
  • For a request for submission of a resource in the toolbox: your data is collected in order to be able to notify about your submission request. If published, your data and the submitted information will be kept without time limit, unless you request deletion. 
  • For a request for advice via email: after processing your email, the email will be deleted within 12 months.
  • For testimonies: your data will be kept without time limit, unless you request deletion.
  • For a request for submission of a resource in the toolbox: your data is collected in order to be able to notify about your submission request. If published, your data and the submitted information will be kept without time limit, unless you request deletion. 

Do we store your personal data in a secure way?

  • Your data is processed and stored in a cautious and secure way. To achieve this various security technologies and measures are implemented to adequately protect your data against unauthorized access, use, loss and disclosure. These technologies and measures are regularly tested and adjusted, if necessary. 
  • If a breach occurs in which your data is involved, we will act according to the circumstances that are provided by law. You will be notified personally.

What can I do to protect my personal data?

  • You have the right to inspect your data collected by us and to have any inaccurate or incomplete data corrected. In order to do this, please contact us at [email protected]. For personal data regarding the self-assessment tool and toolbox, contact [email protected]

  • If you are of the opinion that your data is being treated the wrong way, you can submit a formal complaint to the Privacy Commission via www.dataprotectionauthority.be/citizen

  • The website uses cookies to facilitate navigation through the website and to allow us to tailor the content of our website better to your needs and preferences.
